Standing Order for Rent Payments
- Make sure that once your last rent payment has been made to us you have arranged to cancel your standing order for future rent payments. The bank will only act on your instruction and if you fail to advise them they will keep making the payment to us.
- Any extra payments made to us will result in an administrative charge of £24 inc VAT for us to reimburse funds to you.
Utilities
- Whilst we will notify the council and gas/electricity/water suppliers that you are moving out of the property, it is worth you checking that they have received the information and final meter readings when you come to vacate the property to avoid any issues with your final billing period.
- You will also need to notify tv, broadband or any other media providers to the property that you set up when you moved in.
- Any prepayment meters should have the same amount of credit on the account as noted at check-in and any keys or cards should be left in the premises.
- Any oil tank or propane gas cylinder should be filled to the same level as noted at check-in.
- Cesspit or septic tank should be emptied prior to your departure.
Preparing property to move out
- The property must be fully vacated, clean and all keys surrendered to your agent or landlord by 11:59pm on the last day of your tenancy. You will not have access to the property after this date.
- Use your check-in inventory and schedule of condition report supplied to you at move in to prepare for the handover of the property.
- Ensure all items are in the same place as they were noted at time of check-in. This is particularly important if the property was let furnished.
- If there are items missing or damaged, inform your agent or landlord before the check-out to see how best to replace/repair the items.
- Find all keys, label them clearly and ensure they are returned to your agent or Landlord including any gate, garage and alarm fobs which are costly to replace.
- Ensure that any appliance operational manuals remain in the property.
Heating
- If you are due to move out between October and April, leave the central heating thermostat turned to 16 degrees on a constant setting. If you are moving out any other time of the year the heating should be turned off.
- Ensure that electric immersion water heaters are turned off.
Check-out Inspection
- Your agent or landlord will notify you when the inspection is due to take place, which you are welcome to attend if there is anything specific you wish to discuss.
- We aim to write to you within 10 working days of the inspection appointment to advise on your deposit return. We will also initiate the deposit return based on this through the deposit protection portal.
- The lead tenant has 14 days to respond to the release request to either:
- Accept the deposit release terms, funds will then be paid within 5 working days.
- Dispute any deductions, we will keep hold of the disputed amount and pay any undisputed amount within 5 working days. The funds in dispute will be held until such time as a satisfactory conclusion has been achieved.
- Should the tenant fail to respond, the deposit protection scheme will return the amount claimed by the member within 5 working days.
- The deposit can only be allocated when agreement is reached by both the tenant and landlord.
